Medical Separation
Medical separation may occur after the Interactive Process has been exhausted and the following has been determined:
- All leave entitlements have been exhausted;
- Employee’s restrictions are understood;
- Employee’s restrictions prevent him/her from performing one or more essential function of the position;
- The Interactive Process has been extensive and documented and a reasonable accommodation cannot be identified;
- Reassignment is not available because neither the University nor the employee can identify an open, vacant position for which the employee is minimally qualified.
The Medical separation process requires:
- Written statement by the Department representative.
- Documentation including job description and medical information.
- Analysis by the Disability Management Coordinator recommending the separation.
- Prescribed notices.
- Post medical separation, a former employee may be selected for a position without the requirement that the position be publicized (special reappointment).
Departments should consult with the Disability Management Coordinator prior to taking such action. A medical separation letter, by bargaining unit or personnel program, is available below for use by departmental supervisors. It is also advised that the department supervisor always check the relevant collective bargaining contracts or Personnel Policy for Staff Members (PPSM 66).
